PrivateChief for Auto Dealerships

Your store runs on deals. Somebody still has to run the store.

A dealership is never short of software. It is short of one capable person holding the administrative picture: what came in overnight, what is waiting on a title, which renewal is close, and what genuinely needs the dealer principal.

PrivateChief gives the store a named Business Chief who does that work, knows who is asking, and brings you decisions instead of noise.

First, the honest part

This is not another dealership system, and it does not pretend to be.

PrivateChief does not integrate with your DMS or your CRM. It does not read CDK, Reynolds and Reynolds, Tekion, Dealertrack, VinSolutions, Elead or DealerSocket, and we would rather say so on this page than discover it together in month two.

What it does is work alongside them, from the material those systems never held in the first place: the email, the phone, the calendar, the document drawer, the renewal dates, the vendor promises, and whatever your people tell it. That is precisely where the day leaks away.

If what you need is a lead-response tool bolted into your CRM, your CRM vendor sells one. If what you need is the person who would otherwise be doing this by hand at seven in the evening, keep reading.

The work between the deals

Six things a store carries by hand, and a Chief who carries them instead.

After hours & overflow

Answer the enquiry that arrives at nine at night

Enquiries land in one desk with their history attached. Your Chief prepares the reply, and with the store's approval sends it by email or text — or places the call.

The morning picture

Open the store already knowing

A scheduled briefing puts the night's enquiries, today's commitments, open decisions and anything that changed in front of the right person before the doors open.

Renewals & filings

Never be surprised by a lapse

Dealer license, surety bond, garage liability, inspection credentials, franchise and vendor agreements. You give your Chief the dates once; it keeps the register and raises them long before they bite.

The paperwork drawer

Find the document without the hunt

Vendor contracts, insurance certificates, policies and store paperwork organized and searchable — and honest with you about anything it has stored but cannot read.

Follow-through

Chase what stalls a delivery

Title work, transport, the recon shop, warranty registration, the plate that has not come back. Your Chief keeps the thread and returns to work already in progress.

Month end

Make the entity's books a managed process

Connected bank accounts feed the month, familiar transactions are categorized against rules it learns, and only real questions reach you. This sits beside your DMS accounting, not in place of it.

A day at the store

Fewer loose ends. Less of it in your head.

07:45

Your briefing lists the four enquiries that came in overnight, the two deliveries waiting on titles, and the garage liability certificate that expires in eighteen days.

10:20

A customer asks whether a unit is still available. Your Chief drafts the answer with the full history of that conversation attached, and sends it once your sales manager approves.

14:00

The transporter has not confirmed. Your Chief has already chased it twice and brings you the one thing it cannot decide: whether to pay for expedited pickup.

Month end

Bank activity is gathered, familiar entries are categorized, and the exceptions arrive as a short list of decisions rather than an evening with a spreadsheet.

Access is store policy

Useful to the whole store. Deliberate about who sees the numbers.

A dealership is exactly the kind of business where "one assistant for everyone" is the wrong answer. Your general manager, sales manager, F&I manager, service writer and office manager do not need the same access, and a Chief that assumed they did would be a liability.

Each member is known by name and role. Access to records and tools follows explicit permissions rather than assumption, and your Chief answers the person actually asking.

Member-awareResponses and actions reflect the person asking.
Permission-awareAccess is granted, not inferred.
Human-supervisedOngoing care remains part of the service.
Where it runs, what it costs

At the store, or hosted entirely by us.

By default the store's working memory, permissions, documents and operating context live on a managed appliance in your office, which we monitor, update, back up and support remotely. If you would rather own no equipment, the same Business Chief runs fully hosted on a dedicated, isolated server we operate for you, ready in days rather than weeks. The monthly price is the same either way.

Business service is $199 per month for one business. A group runs each rooftop as its own business and workspace at $199 per month each, so one store's records never blend into another's. Fully hosted service has a fixed $299 onboarding fee; an in-office installation is quoted for the actual location, integrations and migration work. Businesses also maintain a compatible paid OpenAI or Anthropic Claude subscription directly with that provider. See the complete pricing.

Questions dealers ask

Straight answers.

Does it connect to my DMS or CRM?

No. There is no integration with CDK, Reynolds and Reynolds, Tekion, Dealertrack, VinSolutions, Elead or DealerSocket, and none is planned as a condition of service. Your Chief works alongside those systems from email, phone, calendar, documents and what your people tell it.

Will it contact my customers without me approving it?

Not unless you decide it should. Every capability runs in one of three modes: off, or able to read and plan but send nothing, or permitted to act. New workspaces start where nothing is sent, spent or published, and the owner moves each capability when ready.

Where does the store's data live?

On a private appliance in your office, or on a dedicated isolated server in a PrivateChief-controlled United States cloud account if you choose the hosted option. Each client company has its own workspace and data boundary. It is not sold or used for advertising profiles.

How is this different from the AI chat widget on our website?

A website widget answers a visitor and forgets them. A Business Chief holds the store's working memory, knows which member is asking, carries a task across days, and brings you what needs a decision. The widget is a front door; this is the office behind it.

We have three rooftops. How does that work?

Each rooftop is its own business, its own Chief and its own workspace at $199 per month, so records, permissions and memory stay separate. You remain one client relationship to us.

How do I see it working before committing?

Talk to one. Our demonstration Chief, Alfred, will hold a real conversation with you on the live demo or by telephone on (978) 440-1800. It is the product, not a recording.
