PrivateChief for Real Estate Agents

You are paid to be in front of clients. Somebody still has to run the practice.

An agent is never short of apps. What is missing is one capable person holding the administrative picture: who called while you were in a showing, which contingency ends this week, what the lender still has not sent, and which renewal is quietly coming due.

PrivateChief gives your practice a named Business Chief who does that work, knows who is asking, and brings you decisions instead of noise.

First, the honest part

This is not another real estate platform, and it does not pretend to be.

PrivateChief does not integrate with your CRM, your transaction software or your MLS. It does not read Follow Up Boss, BoldTrail, Lofty, Sierra Interactive, Dotloop, SkySlope, Brokermint, zipForm, Form Simplicity or DocuSign, and it does not pull listings from the MLS. We would rather say so on this page than discover it together in month two.

It is also not a licensee. It does not negotiate, give an opinion of value or advise your clients. Anything that needs a license stays with you.

What it does is the unlicensed work around you, from the material those systems never held: the email, the phone, the calendar, the document drawer, the deadlines, the lender's promises, and whatever you tell it. That is where an agent's day leaks away.

The work between the showings

Six things an agent carries by hand, and a Chief who carries them instead.

While you are showing

Catch the call you cannot take

Calls, texts and emails land in one desk with their history attached. Your Chief takes the details, prepares the reply, and with your approval sends it — or puts the caller through to you.

The morning picture

Start the day already knowing

A scheduled briefing puts overnight enquiries, today's showings and closings, deadlines that are close and anything that changed in front of you before your first appointment.

Contract deadlines

Never lose track of a contingency

Inspection, appraisal, financing, the HOA documents and the closing date. You give your Chief the dates once for each deal; it keeps the register and raises each one well before it ends.

Follow-through

Chase what holds up a closing

The lender's clear-to-close, the title commitment, the repair invoice, the survey that has not arrived. Your Chief keeps the thread and returns to work already in progress.

License & paperwork

Find the document, keep the license current

Your license, continuing-education hours, association and MLS dues, errors-and-omissions cover, and the practice's own paperwork, organized and searchable — and honest with you about anything it has stored but cannot read.

Month end

Make the practice's books a managed process

Connected bank accounts feed the month. Commission deposits, desk fees, dues and marketing spend are categorized against rules it learns, and only real questions reach you.

A day in the practice

Fewer loose ends. Less of it in your head.

07:30

Your briefing lists the two showing requests that came in overnight, the inspection contingency that ends on Thursday, and the continuing-education hours your license renewal still needs.

11:15

You are in a showing when a buyer calls about the listing on Harbor Lane. Your Chief takes the call, notes what they are looking for, and has a reply waiting for your approval when you come out.

15:00

The lender has not sent the clear-to-close. Your Chief has already chased it twice and brings you the one thing it cannot decide: whether to ask the other side for an extension.

Month end

Commission deposits and expenses are gathered and categorized, and the exceptions arrive as a short list of decisions rather than an evening with a spreadsheet.

Access is your policy

Useful to the whole team. Deliberate about who sees what.

On a team, "one assistant for everyone" is the wrong answer. The team lead, the buyer's agents, the transaction coordinator and the showing assistant do not need the same access to clients, commissions or the books, and a Chief that assumed they did would be a liability.

Each member is known by name and role. Access to records and tools follows explicit permissions rather than assumption, and your Chief answers the person actually asking.

Member-awareResponses and actions reflect the person asking.
Permission-awareAccess is granted, not inferred.
Human-supervisedOngoing care remains part of the service.
Where it runs, what it costs

At your office, or hosted entirely by us.

By default the practice's working memory, permissions, documents and operating context live on a managed appliance in your office, which we monitor, update, back up and support remotely. If you would rather own no equipment, the same Business Chief runs fully hosted on a dedicated, isolated server we operate for you, ready in days rather than weeks. The monthly price is the same either way.

Business service is $199 per month for one business, and a team is one business with each member known by name and role. Many agents find their working life and their home life share one calendar; Personal + Business is $299 per month for a Chief for each, kept separate. Fully hosted service has a fixed $299 onboarding fee; an in-office installation is quoted for the actual location, integrations and migration work. Businesses also maintain a compatible paid OpenAI or Anthropic Claude subscription directly with that provider. See the complete pricing.

Questions agents ask

Straight answers.

Does it connect to my CRM, my transaction software or the MLS?

No. There is no integration with Follow Up Boss, BoldTrail, Lofty, Sierra Interactive, Dotloop, SkySlope, Brokermint, zipForm, Form Simplicity or DocuSign, and it does not read the MLS. Your Chief works alongside those systems from email, phone, calendar, documents and what you tell it.

Will it reply to buyers and sellers without me approving it?

Not unless you decide it should. Every capability runs in one of three modes: off, or able to read and plan but send nothing, or permitted to act. New workspaces start where nothing is sent, spent or published, and you move each capability when ready.

Does it do anything that needs a real estate license?

No. It does not negotiate, give an opinion of value or advise your clients. It carries the unlicensed work — scheduling, follow-up, deadlines and paperwork — and brings the licensed decisions to you.

Where do my clients' details live?

On a private appliance in your office, or on a dedicated isolated server in a PrivateChief-controlled United States cloud account if you choose the hosted option. Each client company has its own workspace and data boundary. It is not sold or used for advertising profiles.

I also refer clients to PrivateChief. Is this the same thing?

No. Our agent referral program pays a flat fee when a household you introduce becomes a client. This page is about a Business Chief for your own practice. You can do either, or both.

How do I see it working before committing?

Talk to one. Our demonstration Chief, Alfred, will hold a real conversation with you on the live demo or by telephone on (978) 440-1800. It is the product, not a recording.

Rather talk than type?

Alfred will call you.

Leave your number and Alfred, our demonstration Chief, rings you back — right now or when it suits you. A real conversation, no forms and no obligation. If you like what you hear, he can arrange a consultation with Dr. Bennett's team.
