PrivateChief managed administrative assistant

Hiring an administrative assistant or receptionist? Have the work done for $1,000 a month.

The job ad usually lists the same things: answer the phone, keep the inbox under control, manage the calendar, send the invoices, chase what is late and keep the paperwork straight. A PrivateChief operator does that list for you, remotely, with a Business Chief that answers, sorts and drafts around the clock.

Use it while you look for the right hire, or instead of hiring. Either way the work starts in days, not at the end of a three-month search.

The role, filled
$1,000a month
  • A named operator who works your account every business day
  • Your own Business Chief, answering and drafting around the clock
  • A private hosted server for your business
  • Nothing sent, spent or published until you allow it

One-time $299 setup. No annual commitment or cancellation fee.

How it works

A real person, with a Chief doing the legwork.

You are not buying software and left to run it yourself. A PrivateChief operator, a real person on our team, takes the administrative assistant or receptionist job description and works it for you, remotely, every business day.

Beside them is your Business Chief: the AI side of PrivateChief, which knows your business, your customers and how you like things done. It gathers, sorts, drafts and watches between the operator's working hours, and the operator checks its work.

You stay in charge. You decide what may go out on its own and what waits for your approval, and you can change that whenever you like.

What the job ad asks for

The job description, covered.

Phone

Every call answered, every message passed on

Your Business Chief answers the business line, takes the details, answers routine questions from what you have told it, and puts callers through to the right person under rules you set. Your operator reviews the day's calls and follows up anything left open.

Inbox

The shared inbox, sorted every morning

Messages are sorted, routine questions answered from your own answers, and the rest drafted for the right person with the history attached. Nothing goes to a customer until you have said it may.

Calendar

Appointments booked and confirmed

Your Chief books, moves and confirms appointments in your calendar, sends the reminders, and makes sure each meeting has what it needs before it starts.

Invoices and books

Invoices sent and chased, books kept current

Quotes and invoices go out from the Books in your workspace, overdue ones are chased politely, and connected bank accounts are categorized every month, with only real questions brought to you.

Paperwork

Documents filed, deadlines kept

Contracts, licenses, insurance certificates and filings are organized and searchable, and renewal dates reach you in good time rather than after they pass.

Follow-through

The loose ends, tied off

The supplier who owes an answer, the customer who has not replied to a quote, the form that still needs a signature. Your operator keeps the list and works it every business day.

In practice

A day with the role filled.

08:00

Your briefing lists last evening's three calls and what each caller wanted, today's appointments, and the two invoices that fell overdue.

10:30

A customer calls to move Thursday's appointment. Your Chief finds a free slot, books it and sends the confirmation.

14:00

Your operator chases the supplier who promised a delivery date on Monday, and the quote a customer has not answered.

Month end

Bank transactions are categorized, invoices matched to payments, and the exceptions arrive as a short list of questions.

What the hire really costs

The salary in the ad is not what the business pays.

For a full-time employee, wages and salaries are only 68.5 percent of what a private employer spends; the rest is benefits and payroll taxes (Bureau of Labor Statistics, June 2026). Recruiting, training, holidays and sick days come on top.

The salary, per month$3,750
Benefits and payroll taxes, per month$1,724
What the hire costs, per month$5,474
The managed role, per month$1,000

It is not a like-for-like swap: an employee is in the building and on your payroll full time. This is the part of the job description that can be done well from somewhere else, which for this role is most of it.

The honest part

What the managed role does not cover.

Nothing at your premises

Greeting visitors, handling the post and anything else that needs a person in the building stay with you.

Not an emergency line

Urgent calls go straight to the person you name, under the rules you set.

No licensed advice

Legal, tax, medical and financial advice stay with your professionals; payroll stays with your payroll provider.

No specialist trade software

It works from email, phone, calendar, documents and Books. Work that lives only inside an industry system stays with your staff.

What it costs

$1,000 a month, and no long contract.

The managed administrative assistant or receptionist is $1,000 per month. That includes your operator, your PrivateChief Business membership, and the dedicated, isolated server your Chief runs on, which we host and look after. Setup is a fixed $299, once.

As for every PrivateChief business, the AI your Chief runs on is your own OpenAI account or bought through us at cost plus 30 percent. Anything you would pay a supplier for anyway, such as advertising budgets, printing and postage, you pay to them directly. There is no annual commitment or cancellation fee. Questions businesses ask

Straight answers.

Who actually does the work?

A named PrivateChief operator, a real person on our team, works your account every business day. Your Business Chief, the AI side of PrivateChief, answers, sorts and drafts around the clock, and your operator checks its work and handles what needs a person.

Will it contact our customers without approval?

Not unless you decide it should. Every capability runs in one of three modes: off, able to read and plan but send nothing, or permitted to act. New workspaces start where nothing is sent, spent or published, and you move each capability when you are ready.

What does it cost, all in?

$1,000 a month for the role, which includes your PrivateChief Business membership and its private hosted server, plus the standard one-time $299 setup. As for every PrivateChief business, the AI your Chief runs on is your own OpenAI account or bought through us at cost plus 30 percent, and telephone minutes are billed at cost plus 30 percent. There is no annual commitment or cancellation fee.

Can we still hire someone later?

Yes. Many businesses will use the role while they search. When you hire, your Business Chief can stay at the standard $199 a month and work beside your new assistant, who starts with everything it already knows.

How quickly does it start?

Usually within a week of a setup call, which covers your business, how you want the phone answered, who gets which calls, and the accounts you want covered.

Where does our information live?

On a dedicated, isolated server that PrivateChief operates in a United States cloud account. Each business has its own workspace and data boundary, and nothing is sold or used for advertising profiles.

Do you offer other roles?

Yes: we also offer a managed marketing coordinator on the same terms.
