A small property management company is never short of software. It is short of one capable person holding the administrative picture: who called about water through the ceiling at midnight, which vendor has not confirmed, which inspection or vendor certificate is about to lapse, and which owner is waiting for an update.

PrivateChief gives the company a named Business Chief who does that work, knows who is asking, and brings you decisions instead of noise.

First, the honest part

This is not another property management system, and it does not pretend to be.

PrivateChief does not integrate with your property management software. It does not read AppFolio, Buildium, Rent Manager, Yardi Breeze, Propertyware or DoorLoop, and it does not see your work orders, ledgers or tenant portal. We would rather say so on this page than discover it together in month two.

It also does not collect rent, handle owners' or tenants' money, keep trust accounts, screen applicants, set rents or sign leases. Those stay with you, your systems and your licensed people.

What it does is the work around the doors, from the material that software never held: the calls nobody could take, the email, the calendar, the document drawer, the vendors' promises, the inspection and certificate dates, and whatever your people tell it. That is where a property manager's day leaks away.

The appliance vendor has not confirmed the dishwasher repair. Your Chief has already chased it twice and brings you the one thing it cannot decide: whether to send another vendor at a higher price.

The company's own income and costs are gathered and categorized, and the exceptions arrive as a short list of decisions rather than an evening with a spreadsheet.

Useful to the whole office. Deliberate about who sees what.

"One assistant for everyone" is the wrong answer for a property management company. The principal, the property managers, the leasing agent and the maintenance coordinator do not need the same access to owners, tenants or the books, and a Chief that assumed they did would be a liability.

Each member is known by name and role. Access to records and tools follows explicit permissions rather than assumption, and your Chief answers the person actually asking.

Where it runs, what it costs

At your office, or hosted entirely by us.

By default the company's working memory, permissions, documents and operating context live on a managed appliance in your office, which we monitor, update, back up and support remotely. If you would rather own no equipment, the same Business Chief runs fully hosted on a dedicated, isolated server we operate for you, ready in days rather than weeks. The monthly price is the same either way.

Business service is $199 per month for one company, with each member of staff known by name and role — the price does not change with the number of doors. Fully hosted service has a fixed $299 onboarding fee; an in-office installation is quoted for the actual location, integrations and migration work. Questions property managers ask

Straight answers.

Does it connect to my property management software?

No. There is no integration with AppFolio, Buildium, Rent Manager, Yardi Breeze, Propertyware or DoorLoop, and none is planned as a condition of service. Your Chief works alongside them from email, phone, calendar, documents and what your people tell it.

Does it collect rent or handle trust accounts?

No. It does not collect rent, move owners' or tenants' money, or keep trust or escrow accounts. Its books cover the management company's own operating accounts only.

Does it screen applicants or sign leases?

No. It does not screen applicants, set rents, negotiate or sign leases, or serve notices. It carries the administrative work and brings those decisions to you and your licensed people.

Will it contact tenants or owners without approval?

Not unless you decide it should. Every capability runs in one of three modes: off, or able to read and plan but send nothing, or permitted to act. New workspaces start where nothing is sent, spent or published, and the principal moves each capability when ready.

Where do owners' and tenants' details live?

On a private appliance in your office, or on a dedicated isolated server in a PrivateChief-controlled United States cloud account if you choose the hosted option. Each client company has its own workspace and data boundary. It is not sold or used for advertising profiles.
