Your crews fix the house. Somebody still has to run the office.
A plumbing, HVAC, electrical or roofing company is never short of work. It is short of one capable person holding the administrative picture while everyone is out on jobs: who called with no heat at eleven at night, which estimate went quiet, which part is still on backorder, and which license or certificate is about to lapse.
PrivateChief gives the business a named Business Chief who does that work, knows who is asking, and brings you decisions instead of noise.
This is not another field-service system, and it does not pretend to be.
PrivateChief does not integrate with your field-service software. It does not read ServiceTitan, Jobber, Housecall Pro, FieldEdge or Service Fusion, it does not touch your dispatch board, and it does not move technicians or book jobs onto their schedules. We would rather say so on this page than discover it together in month two.
It also does not diagnose a problem over the phone, price a job or promise an arrival time. Those stay with you and your people.
What it does is the work around the work, from the material that software never held: the calls nobody could take, the email, the calendar, the document drawer, the supplier's promises, the license and insurance dates, and whatever your people tell it. That is where a contractor's day leaks away.
Six things a contractor's office carries by hand, and a Chief who carries them instead.
Answer the no-heat call at eleven at night
Calls, texts and emails land in one desk with their history attached. Your Chief takes the address and what is happening, and either puts the caller through to whoever you have said is on call or holds a reply for the morning.
Start the day before the trucks roll
A scheduled briefing puts the night's calls, today's appointments, the decisions waiting on you and anything that changed in front of the right person before the first job.
Follow up the estimate nobody answered
Tell your Chief which estimates are out, or copy it on them. It follows up on the dates you set, in words you have approved, and brings you the ones that come back with a question.
Chase what holds up a job
The part on backorder, the permit inspection, the manufacturer's warranty claim, the homeowner who has not picked a date. Your Chief keeps the thread and returns to work already in progress.
Never be caught with a lapsed certificate
Contractor and trade licenses, general liability and workers' compensation certificates, vehicle registrations and supplier accounts, organized and searchable, with each date raised long before it bites.
Make the books a managed process
Connected bank accounts feed the month. Customer payments, supply-house purchases, fuel and vehicle costs are categorized against rules it learns, and only real questions reach you. This sits beside your accounting software, not in place of it.
Fewer loose ends. Less of it in your head.
Your briefing lists the no-heat call that was put through to your on-call technician at eleven, the estimate from last week that has had no answer, and the liability certificate that expires in three weeks.
A homeowner asks by text whether Thursday still works. Your Chief drafts the answer with the job's history attached and sends it once your office manager approves.
The supply house has not confirmed the replacement part. Your Chief has already chased it twice and brings you the one thing it cannot decide: whether to source it elsewhere at a higher price.
Payments and supply-house charges are gathered and categorized, and the exceptions arrive as a short list of decisions rather than an evening with a spreadsheet.
Useful to the whole crew. Deliberate about who sees the numbers.
"One assistant for everyone" is the wrong answer for a contracting business. The owner, the office manager, the dispatcher and the lead technicians do not need the same access to customers, pricing or the books, and a Chief that assumed they did would be a liability.
Each member is known by name and role. Access to records and tools follows explicit permissions rather than assumption, and your Chief answers the person actually asking.
At your shop, or hosted entirely by us.
By default the business's working memory, permissions, documents and operating context live on a managed appliance at your shop, which we monitor, update, back up and support remotely. If you would rather own no equipment, the same Business Chief runs fully hosted on a dedicated, isolated server we operate for you, ready in days rather than weeks. The monthly price is the same either way.
Business service is $199 per month for one business, with each member of the team known by name and role. A company with more than one branch can run each as its own business and workspace at $199 per month each. Fully hosted service has a fixed $299 onboarding fee; an in-office installation is quoted for the actual location, integrations and migration work. Businesses also maintain a compatible paid OpenAI or Anthropic Claude subscription directly with that provider. See the complete pricing.
Straight answers.
Does it connect to my field-service software?
No. There is no integration with ServiceTitan, Jobber, Housecall Pro, FieldEdge or Service Fusion, and none is planned as a condition of service. Your Chief works alongside them from email, phone, calendar, documents and what your people tell it.
Does it dispatch technicians or book jobs?
No. It does not touch your dispatch board or your technicians' schedules. It takes the request, gathers the details, and hands it to whoever does your scheduling — or, after hours, puts an urgent caller through to the person you have said is on call.
Will it quote prices to my customers?
No. It does not diagnose a problem, price a job or promise an arrival time. Those decisions stay with you and your people.
Will it contact my customers without approval?
Not unless you decide it should. Every capability runs in one of three modes: off, or able to read and plan but send nothing, or permitted to act. New workspaces start where nothing is sent, spent or published, and the owner moves each capability when ready.
Where do my customers' details live?
On a private appliance at your shop, or on a dedicated isolated server in a PrivateChief-controlled United States cloud account if you choose the hosted option. Each client company has its own workspace and data boundary. It is not sold or used for advertising profiles.
How do I see it working before committing?
Talk to one. Our demonstration Chief, Alfred, will hold a real conversation with you on the live demo or by telephone on (978) 440-1800. It is the product, not a recording.
