PrivateChief vs. Athena

Do you need a person, or the routine work handled around the clock?

Athena, the executive-assistant service at athena.com, matches you with one dedicated, full-time executive assistant who is vetted, trained and employed by Athena. It is a serious service for leaders who delegate a great deal, and for judgement, relationships and difficult conversations a good person is still better than any software. PrivateChief is an AI Chief, set up and looked after by engineers, for the routine work of a household, a business or both. This page sets the two side by side, including the places where we would point you to Athena.

Who should choose which.

Consider Athena

Consider Athena when you delegate enough to keep a full-time person busy, much of it needs judgement or a human voice, and you want one person who learns how you work and stays with you.

Athena handles the recruiting, vetting, training, payroll, benefits and equipment, and pairs you with one dedicated full-time assistant for both professional and personal work. Every Athena assistant is also trained to use AI, with an Enterprise ChatGPT license, while human judgement is kept for context, decisions and relationships. [2]

Consider PrivateChief

Consider PrivateChief when most of what you hand off is routine administration — calendars, correspondence, reminders, projects, documents and the books — and you want it moving at any hour, shared across a household or a team, for a fraction of a salary.

A useful starting point is the Household Office: keeping documents and administrative work in order. The Chief prepares, organizes and explains; licensed professional advice and hands-on care remain with people.

What mattersAthenaPrivateChief
Who does the workOne dedicated, full-time executive assistant, a person who is vetted, trained, equipped and employed by Athena, with a Partnership Manager behind the partnership. [1]A named AI Chief configured for your household, your business or both. PrivateChief engineers set it up and remain responsible for it; there is no person working at a desk on your behalf.
Hours and coverForty hours a week over five business days, usually in your time zone. Each assistant has 20 days of paid time off a year, and Athena assigns a temporary assistant for your top priorities during leave. [2]Always on: at night, at weekends and on holidays, with standing routines such as the morning briefing running without being asked. There is no leave to cover.
What it handlesInbox, calendar and scheduling, travel booking, personal and professional research, invoices, and meeting notes with follow-ups. Personal and professional work alike. [2]Calendars, correspondence, reminders, tracked projects, organized documents and the books, through the accounts and permissions agreed at setup. The in-home option adds compatible home controls.
Phone calls with real peopleYour assistant has a US phone number through Zoom and can make calls such as booking international hotels or following up on a refund. [2]Your Chief can place a straightforward call, such as booking a table, after you have confirmed it. Long, delicate or argumentative calls are better handled by a person.
Who it servesOne-to-one. Your assistant has a single delegator; they may occasionally help colleagues or family with something like an offsite or a family trip, but cannot be shared with your executive team. [2]One household, with members who each keep their own privacy and permissions, or a Business Chief, a separate workspace with role-based access for staff, or both.
Where the work happensAthena assistants are located overseas and work on Athena-issued MacBooks with device management. They work in whatever accounts you give them access to. [2]Each household or company has its own dedicated server that we run, or a private appliance at your premises. What your Chief knows stays there, and does not leave when a person moves on.
CommitmentA 12-month commitment at $3,000 a month, or $3,600 a month on monthly terms after an initial 90-day commitment. Fees are billed monthly. [2]Month to month, with no annual commitment or cancellation fee. Fully hosted service has a fixed $299 onboarding fee; an in-home installation is quoted.

Candidly

Where a human assistant is still better.

A person is better at

Judgement calls
Weighing an awkward request from a client, knowing when a rule should bend, or reading what you meant rather than what you said. An experienced person does this better, and we would rather say so.
Phone calls with real people
Negotiating, disputing a charge, persuading a busy office to fit you in, or a long call that changes direction halfway through. Your Chief manages simple calls; a person handles the hard ones better.
In-person errands
Neither an Athena assistant, who works remotely, nor PrivateChief can collect the dry cleaning or wait in for a delivery. If you need someone physically present, you need a local person whichever you choose.
Relationships
Being the familiar, trusted voice that your clients, family and suppliers know by name over the years.

PrivateChief is better at

Always on
No working hours, no time off, no cover arrangements. Routines run on schedule and a request at midnight is handled at midnight.
In your own systems
Your Chief works on your own dedicated server or appliance, keeps a continuous record of the household or business, and that record stays with you.
Shared, with privacy
One membership serves the whole household, or the whole team on Business, with each person’s privacy and permissions kept separately, where an Athena assistant has one delegator.
Cost
$149 to $299 a month in service fees, plus AI usage, against $3,000 to $3,600 a month for a full-time assistant.

The complete cost

How much does Athena cost?

Athena

$3,000 / month

$3,000 per month with a 12-month commitment, billed monthly, which Athena calls its most popular option, or $3,600 per month after an initial 90-day commitment, billed monthly. Either buys one dedicated, full-time executive assistant. [2]

PrivateChief

From $149 / month

Personal is $149 a month, Business $199 a month, and both together $299 a month. Fully hosted service needs no equipment and has a fixed $299 onboarding fee; an in-home installation is quoted for the job.

AI usage is separate: bring your own OpenAI account, or use capacity we supply at our cost plus 30%. Metered voice is billed at cost plus 30% either way. No annual commitment or cancellation fee.

See the complete pricing

On the 12-month plan Athena comes to $36,000 a year. PrivateChief Personal comes to $1,788 a year in service fees, plus $299 onboarding and AI usage. These buy different things: one is a person, the other a managed AI service. If the work you delegate is mostly judgement and relationships, the person is worth the money. If it is mostly routine administration, compare what you would actually hand over.

Before you choose.

Is PrivateChief a replacement for an Athena assistant?

For some people, partly. If most of what you delegate is routine — scheduling, reminders, correspondence, research, keeping projects and documents in order — a Chief can carry much of it. If you rely on someone’s judgement, their voice on the phone, or their relationships with the people around you, keep the person. We would rather lose the sale than tell you otherwise.

Can I use both?

Yes. Some people will want a person for the judgement work and a Chief for the routine and the out-of-hours. If you run both, agree which of them owns which tasks, so nothing is done twice and nothing falls between them.

Does PrivateChief make phone calls?

Yes, within limits. Your Chief can place a straightforward call, such as booking a table, and it reads the plan back and waits for your confirmation first. It is not the right choice for a long negotiation, a dispute, or a caller who simply wants a person.

Why is there such a difference in price?

Because Athena is paying, training and managing a full-time person for you, and PrivateChief is a managed software service. The price difference is real, but so is the difference in what you get. Weigh it against the work you actually want taken off your hands.

Does Athena use AI too?

Yes. Athena says it gives every assistant an Enterprise ChatGPT license and trains them to use AI for speed while keeping human judgement for context, decisions and relationships. PrivateChief also runs on OpenAI today. The difference is not access to AI; it is a person working for you set against an always-on Chief set up for you.
