PrivateChief Money & Records: Bills, Renewals and Household Paperwork in One Place

2:20 · Narrated walkthrough of the real app · Watch on YouTube

Money & Records is the PrivateChief tool for the household paperwork side of money: the bills and subscriptions you pay, the insurance and registrations that renew, the passports and warranties that expire, the tax documents for each year, and a simple twelve-month view built from your Personal Books. It records and reminds; it never pays, cancels or changes anything. The household in this walkthrough, the Ashfords, is invented for the demonstration, and every bank, merchant and amount on screen is made up.

Money & Records

What Money & Records does

  • Keeps a private register of bills, subscriptions, insurance, registrations and other recurring costs, with how often each comes and when it is next due.
  • Flags bills due within two weeks, renewals within a month and cancellation decisions with a deadline.
  • Notices price changes on payees you track, using your Personal Books.
  • Projects the next twelve months from the median of your recent closed months in Personal Books, adding larger quarterly, twice-yearly and annual items in the month they fall due. It shows a projected change, not a bank balance.
  • Suggests recurring payees from your Books that are not tracked yet; one tap adds them.
  • Keeps net worth from values you enter, each with an as-of date, marks anything older than 90 days as out of date, and builds a monthly trend.
  • Tracks tax documents by year: received, expected and missing.
  • Reads a photo of a passport, policy, warranty or license, keeps only the last four characters of any number, and tracks its dates after you confirm. The file stays in Documents.
  • Private to you: it never appears on a shared wall unit.

What the narrator says

0:00Bills, renewals and records in one place

Household money is more than spending. It is the insurance that renews next month, and the passport that quietly runs out. Money and Records keeps track of all of it, and never pays or cancels anything.

0:15Needs Attention

This is Laura Ashford's private view, from a family invented for this demonstration. It never appears on the shared wall. Needs Attention gathers bills due within two weeks, renewals within a month, and decisions with a deadline.

0:32Price changes and expiring documents

It notices price changes, like the last two Lumen Stream charges in Personal Books. Passports are flagged about nine months ahead. Tap any line, and Savannah, the family's Chief, explains it.

0:47The next 12 months

The next twelve months starts from a typical month in Personal Books, then adds the larger quarterly and annual bills when they fall due. November carries insurance and property tax, so it is flagged. It is a projected change, not a bank balance.

1:06Found in your Books

Found in your Books lists payees that charge most months but are not tracked yet. Tap Track, and Savannah watches the price.

1:16Bills and subscriptions, added by asking your Chief

The register lists every bill, subscription and policy, with how often it comes and when it is next due. To add one, just tell Savannah. She saves the water bill, says exactly what she saved, and places it in the right four months of the forecast.

1:37Net worth

Net worth uses values Laura enters herself, each with its date. Anything older than ninety days is marked out of date.

1:49Tax documents and important documents

Tax documents are tracked by year: received, expected and missing. Important documents start with a photo. Savannah reads the details, keeps only the last four characters of any number, and saves them after you confirm.
